Pathfinder/LL&D Insurance GroupProducer Pipeline

What broke, and what's different now

Your email listed three reasons the team stopped using the old CRM. Each one below is shown as a screen recording of the new Pathfinder Pipeline, exactly as it runs today, with a note on why the problem can't happen any more.

1Too many steps

"Logging a new prospect or updating a deal took several screens and clicks. Producers stopped keeping it current because it slowed them down."From your email
Logging a prospect. Press N, type the name, tick the lines of coverage, press Enter.

Logging a prospect is one screen and one key

N opens the form from anywhere. The producer is already filled in. Type who it is, tick one or more lines of coverage, hit Enter. The deal is on the board.

A deal can carry several lines at once, General Liability plus Commercial Auto plus Workers' Comp on one card. The first line sets the default commission %, so that never needs typing either.

Updating a deal. Advance, Undo, a one-line note, a follow-up, then "Done +1w" from the Follow-Ups list.

Updating a deal is one click, and it's reversible

Every card carries a button with the next stage's name. Click it and the card moves. Clicked the wrong one? Undo is right there.

  • Logging a call is one line in the note box, Enter to save.
  • Rescheduling a follow-up is one button: Tomorrow, +3d, +1w, +2w.
  • From the Follow-Ups list, "Done +1w" logs the touch and reschedules without opening the deal.

2Required fields blocked progress

"A deal couldn't move to the next stage unless every one of about 30 fields was filled in. Early on, we often don't have half that information yet, so deals sat in the wrong stage or never got entered."From your email
A deal created with only a name and a line, moved Opportunity to Discovery to Blueprint to BOR/Quoted to Bound with nothing else filled in.

Four fields are required. Nothing else, at any stage, ever.

Producer, client, lines of coverage, stage. That's the whole list, and it's the list you asked for. Premium, fees, carriers, X-date, contact details: all optional, filled in as you learn them.

Missing information shows as a gentle nudge, not a wall. A card with no premium says "no premium yet." The Follow-Ups page lists open deals with no follow-up date. The producer fills it in when they know it, and the deal keeps moving in the meantime.

3Not user friendly

"The layout was cluttered and hard to learn. It was built for features, not for a producer who needs to update a deal between calls."From your email
The whole product: five tabs. A producer's own numbers sit at the top of their pipeline.

Five tabs. Numbers first. Nothing to learn.

  • My Pipeline: open pipeline, potential revenue, bound YTD, % to goal with a tick for where the year is, overdue follow-ups. Then the board.
  • Team Dashboard: every producer side by side, the same 14 columns as your workbook, potential revenue by X-date month, by stage, by business type, goal progress, live activity.
  • Follow-Ups: overdue, due this week, X-dates inside 60 days.
  • All Deals: filter, sort, export.
  • Settings: every dropdown and goal, editable by you, no developer.

Stage names are the column headers. The button says what it does. Search is one keystroke. Dark mode if someone wants it.

24 modules5 tabs
On a phone. Same numbers, swipe between stages, Advance and Undo with a thumb.

Built for between calls, which means a phone in a truck

The same site works on a phone with no app to install. Bottom tabs, a swipeable board, big buttons. A producer can move a deal, log a note, or clear a follow-up while walking to the next appointment.

If the team wants an icon on the home screen, "Add to Home Screen" does it. No app store, no update prompts.

4The pipeline lived in people's heads and inboxes

"In the end, our pipeline lived in people's heads and inboxes instead of the system. That's the problem we need to fix."From your email
WKWes, on his pipeline
★Owner, on the team dashboard
Two different logins on two different screens. Wes advances a card on the left. The owner's activity feed on the right updates by itself.

One shared system, live for everyone

Each producer signs in and sees their own pipeline. The owner sees everyone. When any producer moves a deal, every other screen updates within a second, no refresh.

A producer can see the whole agency's board, the same way everyone could see every tab in your workbook, but can only change their own deals. That's enforced by the database, not by the screen.

The reason it stays current is the same reason the email stayed current: it's now the fastest place to put the information.
